Database Associate (Part-Time, 28 hours/week)
 

Position Summary:
The Database Associate reports to the Philanthropy Manager and is responsible for managing the organization’s donor management system. Working collaboratively across departments, this role supports the Jewish Federation of Ottawa and the Ottawa Jewish Community Foundation with fundraising, marketing, donor stewardship, and community-building initiatives. The ideal candidate will thrive in a team-oriented, fast-paced environment.

Key Responsibilities:

  • Administer the donor management system, providing database support, statistical analysis, and training for end users.
  • Leverage data strategically to support the organization’s goals and objectives.
  • Run queries and build reports to assist with prospecting, fundraising, and marketing for both annual giving and sponsorship efforts.
  • Act as a liaison with database providers for training, technical support, system upgrades, and troubleshooting.
  • Develop and implement best practices for data coding, analysis, and reporting.
  • Perform routine database maintenance, including data cleansing and updating donor records.
  • Support data migration efforts from Blackbaud CRM and Microsoft Dynamics.
  • Implement data entry standards and protocols to maintain accuracy and consistency.
  • Assist with direct mail and donor stewardship programs.
  • Support the annual campaign by completing special assignments within specified timelines and collaborating with co-workers and volunteers to achieve organizational goals.
  • Assist with event support as needed, including occasional work outside regular business hours.
  • Promote the organization’s mission by providing excellent customer service and using resources efficiently.
  • Work collaboratively within a team to achieve shared objectives.
  • Perform other duties as required.

Skills, Qualifications, and Mindset:

  • Proven experience in database management, preferably within a non-profit or fundraising environment.
  • 2-5 years of experience analyzing CRM systems related to fundraising or marketing (experience with Blackbaud, Microsoft Dynamics, or CommunitySuite preferred).
  • Strong analytical, problem-solving, and organizational skills with meticulous attention to detail.
  • Self-directed and motivated, with excellent time management skills.
  • Ability to present complex information and recommendations clearly and concisely.
  • Strong interpersonal and collaborative skills, with the ability to work effectively in a team environment.
  • Ability to handle sensitive information with discretion and maintain strict confidentiality.
  • Proficient in keyboarding, proofreading, and computer skills, including Microsoft Office, mail merges, PDF forms, and Scribe.
  • Knowledge of the Ottawa Jewish community is an asset.
  • Bachelor’s degree in computer science, information systems, or a related field, or equivalent work experience.
  • Experience with data migration and system upgrades.
  • Extensive knowledge of CRM query construction.
  • Understanding of basic financial practices.
  • Familiarity with database operations, including bulk data loading, data syncing, software updates, testing, and loading.

Salary & Benefits:

  • Pay band: $42,000 - $44,000
